Development Associate

Development Associate

Department: Development
Reports to: Interim Director of Development
Hours: 35 hours per week
Temporary: February 2026-June 2026, with possibility of extension

Summary

Reporting to the Interim Director of Development, the Development Associate will work with the Development team to support museum membership, donor engagement, and fundraising initiatives. This role provides administrative support, donation processing, and collaborates with the Donor Engagement and Events Manager to execute programs and events.

 

Responsibilities

Administrative

  • Provide overall administrative and project support for the Museum’s Development team.

Development

  • With the Development team, support the execution of annual fundraising strategies and campaigns.
  • Collaborates with the Development team to engage staff across departments in fund development initiatives, including sponsor awareness and recognition, campaign support, and membership training.
  • Draft, revise, and track acknowledgment letters, pledge agreements, and invoices.
  • Assist with donor research and draft donor profiles.
  • Help prepare donor meeting materials including presentations, briefings, reports, and summaries.
  • Collaborate with the Development Director and relevant Museum staff to update annual funding proposals and assist with new proposals as required.
  • Track grant applications and donor proposals, reports, and supporting documentation.
  • Place orders for catering and donor stewardship gifts
  • Assist with creating and preparing event materials
  • Prepare development related mailing lists and coordinate mailings
  • Assist with proofreading and file organization.

Membership

  • With the Director of Development, creates and implements member acquisition strategies to acquire, upgrade and retain members. Provide recommendations for new membership initiatives and programs based on reporting, research, and observation.
  • Processes memberships, donations and fund development campaigns in CRM database (Patron Manager, Salesforce).
  • Produces timely gift acknowledgment correspondence. Administers monthly membership renewal process.
  • Reviews and regularly updates membership communication templates and other development correspondence.
  • Track and report donor activity using the CRM, ensuring effective oversight of memberships, donations and other initiatives.
  • Reconciles all fund development revenue with the finance team, ensuring accurate coding of all transactions.

General

  • Support and amplify the Museum’s commitment to justice, equity, diversity, and inclusion.
  • Work collaboratively with interdepartmental teams and department heads.
  • Support emerging technologies, strategies, and best practices to ensure that the Museum is current and develops new programs accordingly.
  • Adhere to all prescribed organizational and departmental policies and procedures.

Education and Experience

  • Bachelor’s degree preferred. Associates degree in business-related areas or equivalent work experience required.
  • Database experience (such as Salesforce or other CRM) desired.
  • Proficiency in Excel to create and manipulate mailing lists and donation reports.
  • Proficiency in creating and working with charts, text, images, and multi-media elements in PowerPoint presentations and Word proposals.
  • Experience with Microsoft Office and Cloud services including Office 365, OneDrive, Adobe Sign, and MS Teams; ability to learn new job-related software programs.

The expected salary range for the Development Associate is $25.00-27.50 per hour.
